Ring-Thru is an after-hours answering service for service businesses in the United States and Canada. When a business ("our customer") is closed, Ring-Thru answers its phone line, connects urgent callers to the business's on-call staff, and passes messages on to the office. This policy explains what information we handle and how. It covers the Ring-Thru app at app.ring-thru.com and our website at ring-thru.com.
Information we collect
- Account information: names, email addresses and passwords (stored only in hashed form) of the people who sign in to manage a business's account.
- Staff contact details: names, phone numbers and email addresses of the business's technicians, managers and office staff, entered by the business so we can reach them about after-hours calls. We also record when the business confirmed that each person agreed to get calls and texts, and who confirmed it.
- Call information: callers' phone numbers, the callback number and any name a caller gives, the time and outcome of each call, voicemail recordings and their written transcripts.
- Billing information: handled by our payment processor. We don't store card numbers.
- Sign-in and security: a cookie that keeps you signed in, and the checks that protect our sign-up and password reset forms from bots.
- Website visits: anonymous visit statistics for ring-thru.com, collected without cookies.
How we use it
Only to provide the service: answering and routing calls, calling and texting the business's on-call staff about those calls, emailing messages and transcripts to the business, billing, keeping the service secure and reliable, contacting account holders about their account, and understanding how our website is used.
Text messages (SMS)
- We text a business's staff only about that business's after-hours calls: a welcome message when they're added, with instructions to opt out; urgent-call alerts to the on-call technician; and texts to a manager when no technician accepted an urgent call or nobody is on call. Non-urgent messages are emailed, not texted. We don't send marketing texts.
- A business adds a staff member's phone number only after that person has agreed to get these calls and texts, and Ring-Thru records that confirmation. Message frequency varies with call volume. Message and data rates may apply.
- Reply STOP to stop texts at any time, and START to resume. Reply HELP for help, or email [email protected].
- We do not sell, rent or share mobile phone numbers or text-messaging consent with third parties or affiliates for their marketing or promotional purposes. Text-messaging opt-in data and consent are never shared with any third party, except the service providers that deliver the messages for us.
Who we share it with
We don't sell personal information. We share it only with the business it belongs to and with service providers that help us run Ring-Thru: phone and text-message delivery, email delivery, voicemail transcription and voice prompts, payment processing, hosting and storage, website and bot protection, website analytics, and error monitoring. They may use it only to provide those services to us.
Ring-Thru stores information in the United States, and our providers may process it there or in other countries. If you're in Canada, this means your information may be subject to the laws of those countries.
We may also disclose information when the law requires it.
How long we keep it
We keep information, including call recordings and transcripts, while the business's account is open. After an account closes, we delete or anonymize it within a reasonable time, unless the law requires us to keep it longer. A business can ask us to delete specific recordings sooner.
Security
Connections to Ring-Thru are encrypted, passwords are stored hashed, and access to each business's information is limited to that business's own users.
Your choices
Staff members can ask the business that added them to update or remove their details, or contact us. Account holders can update their details in Ring-Thru. To ask about, correct or delete your information, email [email protected].
Changes
We'll post any changes to this policy on this page and update the date above.
